Rankings & Meeting Matches

 

Are my rankings private?

Yes; submit your rankings honestly so that we can get you the best meetings possible.


Can I see how others have ranked my company?

No; rankings are confidential and are seen by Xchange staff only.


Why am I matched with companies that I ranked as Medium interest?

We match you with your top choices whenever possible, however, meetings are of mutual-interest so you may be matched with the companies that you ranked as medium based on their interest in meeting with you.


How do I see the companies that I’ve been matched with?

Login to the Xtranet portal and select an Xchange; you’ll find your meeting matches on the pre-Xchange tab.


Why wasn’t I matched with a company that I wanted to meet with?

Xchange meeting schedules can be like a puzzle that has extra pieces; sometimes there are more meeting opportunities that we can fit in logistically. We strive to match you with as many companies ranked high interest as we can, but we have to take meeting schedules (for both companies involved) as well as mutual-interest between companies into account in order to finalize a match.


Why do I only have “X” amount of meetings?

There could be a few reasons:

  • Matches may not be finalized; check the Xtranet again in a few days to see if your meeting list has changed.

  • We strive to match you with as many companies as we can, but we have to take meeting schedules (for both companies involved) as well as mutual-interest between companies into account before finalizing a match.

  • For suppliers only: the size of your meeting package will dictate the number of companies you’re matched with. If you’re interested in additional meetings, reach out to our staff and we’d be happy to help!


When will my meeting times be assigned?

Personal meeting schedules will be released by the Friday prior to the Xchange via the Xtranet. You’ll receive a printed copy of your personal schedule when you arrive onsite as well.


Pre-Xchange Calls & the Xtranet Attendee Portal

 

What are pre-Xchange calls?

Pre-Xchange calls are 30 minute conversations held in advance of your Xchange meetings. During the call, make introductions & prioritize meeting topics to maximize productivity during your Xchange meeting.


How do I schedule my pre-Xchange calls?

1) Buyer executives share availability for pre-Xchange calls by uploading time slots to the Xtranet portal.

2) Suppliers choose from the available time slots to schedule the pre-Xchange call.

3) Both parties receive an email with calendar attachment from the Xtranet once the pre-Xchange call has been scheduled.


How do I access the Xtranet portal?

Login information will be provided by Xchange staff via email. Once received, visit the Xtranet here: https://app.verticalxchange.com.


Who calls who?

Suppliers should contact the buyer executive at the scheduled time unless other arrangements have been made. Suppliers may also include conferencing information when scheduling the pre-Xchange call if they’d like to include multiple team members.


A buyer still hasn’t provided any time slots to choose from; now what?

When a buyer has “availability pending” on the Xtranet portal, suppliers should reach out to them directly to setup a pre-Xchange call. Click on the company name to view their contact information.


Can I set up meetings on my own (outside of the Xtranet portal)?

We redesigned our Xtranet portal to make scheduling pre-Xchange calls simple and intuitive; it is the best tool for the job. However, we are okay with you using a different process so long as these important conversations are indeed happening in advance of the Xchange.


How do I find other attendees’ contact information using the Xtranet?

Are you working on pre-Xchange calls or post-Xchange follow up?

    1. Login to the Xtranet portal and select an upcoming Xchange.

    2. Go to the “Pre-Xchange” tab where you’ll see your matches listed alphabetically.

    3. The primary attendee is listed beneath each company; click the company name to view their full Xchange team.

  • Within one week of the Xchange, you’ll receive contact information for the companies that you had private meetings with via email. If you’re too excited to wait (and we don’t blame you!), follow the below steps.

    1. Login to the Xtranet portal and select an upcoming Xchange.

    2. Go to the “Meetings” tab where you’ll see your meeting matches listed alphabetically.

    3. View contact information: The primary attendee is listed beneath each company; click the company name to view their full Xchange team.

    4. Download contact information: Click the “Export Contacts” button to download contact information for each individual that you met with throughout the Xchange.


How do I update my company info on the Xtranet?

To update your company’s attendee and support staff info (head shot photos, contact details, travel needs, etc.), select the “registration” tab while viewing the applicable Xchange on the Xtranet.

To update the files uploaded for your meeting matches (such as product brochures, attendee bios, etc.), select the “files” tab while viewing the applicable Xchange on the Xtranet.


Onsite Experience & Logistics

 

What’s on the general schedule?

Plan to arrive by mid-afternoon the first day; the Xchange will officially begin with an evening reception for all attendees.

The next two days will be centered around meetings to maximize your time onsite. Meetings begin after breakfast and will continue on throughout the day (with a break for lunch, of course!). In the evening, join the group for dinner and drinks where in addition to enjoying the meal, you can continue conversations that you began in meetings or make connections with those you haven’t yet met.

When will my actual meeting times be assigned?

Your personal meeting schedule will be released via our Xtranet portal by the Friday prior to the Xchange. You’ll receive a printed copy of your personal schedule when you arrive onsite as well.


Can I bring give-away items to the Xchange?

You are welcome to hand out items in your assigned meeting suite but we ask that you refrain from doing so in public Xchange spaces. Keep in mind that some executives may wish to travel light; another good option is to ship the item directly as a follow-up to the Xchange.

If you’d like to provide a gift for each Xchange buyer (not just those you’re meeting with privately), please contact the resort to ask about room-drop service options or plan to ship the items directly.

Where should I ship my product/demo materials to?

Refer to the supplier manual, located on the “Dashboard” tab of the Xtranet portal, or select a location below to view shipping guidelines.

    Park City, Utah may be considered a remote destination by your shipping company. If you ship overnight on the Thursday before the Xchange, your packages may not arrive until Monday morning. Saturday delivery is also not guaranteed.

    Note: The resort does not off/on-load trucks; delivery trucks must have equipment and operators to off/on-load trucks. Rental of any equipment and operators to off/on-load trucks (Pallet Jacks, Forklifts, etc.) is the sole responsibility of the shipping party as are any fees charged by the hotel for receiving packages.

Who else will be there?

You’ll receive a full attendee list via email the week prior to the Xchange and a printed copy in your welcome packet onsite.

In the meantime, take advantage of the pre-Xchange call process! Make introductions before the Xchange so that you can jump right into meaningful conversations onsite.


Where will Xchange meals be held?

You will receive a general schedule the week prior to your Xchange which will include the specific location for each meal. Breakfast and lunch take place onsite for every Xchange, dinner may be offsite; transportation will be provided as needed.

If you have any dietary restrictions and/or preferences, please let our staff know in advance so that we can make arrangements accordingly.
